INTRODUCTION
This summary
document sets fourth the administrative policy statement of the group with
regard to use of, access to, and disclosure of electronic mail to assist in
ensuring that the Groups resources serve those purposes. This is a summary document ONLY and the full
policy should be read and is available online or upon request.
The “Policy
Statement” below is described in brief; all users are expected to read the full
policy document prior to accessing the email system. SLG will accept use of the email system as
acceptance to the policy.
POLICY STATEMENT
- The use of
the Group email system is restricted to authorised staff and contractors.
- SLG will
make reasonable efforts to maintain the integrity and effective operation
of its electronic mail systems, but users are advised that those systems
should in no way be regarded as a secure medium for the communication of
sensitive or confidential information.
- The use
of any Group resources for electronic mail must be related to Group business,
including academic pursuits and incidental and occasional personal use.
- Users are prohibited for using the
email system for:
- Personal use that creates a direct
cost for the Group.
- Personal monetary gain or for
commercial purposes that are not directly related to Group business.
- Sending copies of documents in
violation of copyright laws.
- Use of electronic mail to harass or
intimidate others.
- Attempting unauthorised access to
electronic mail or attempting to breach any security measures on any
electronic mail system
- The Group will not monitor electronic
mail as a routine matter.
- The Group reserves the right to
inspect and disclose the contents of electronic mail:
- In the course of an investigation triggered by
indications of misconduct or misuse
- To protect health and safety
- To prevent interference with the Groups business
focus
- To locate substantive information required for Group
business that is not more readily available by some other means
- Appropriate disciplinary action will
be taken against individuals found to have engaged in prohibited use of
the Groups electronic mail resources.
